This Payment Authorization applies when you submit a commission request to Boardwok LLC d/b/a With A Trace and ask us to save a payment method for a possible design-fee charge if we accept the commission.
1. No design-fee charge at submission
Submitting a commission request does not charge the design fee.
We use a third-party payment processor to collect and save your payment credentials for a possible future charge. We do not intend to place a design-fee-sized authorization hold at submission.
A small temporary verification entry may appear if your bank or payment network uses one as part of card verification, but it is not the design fee.
2. Your authorization to save the payment method
By completing the payment setup and submitting the commission request, you authorize our payment processor to save the payment method for the purposes described in this Authorization.
You may withdraw your request before acceptance by emailing hello@withatrace.com.
3. Design-fee charge if accepted
If we accept your request within 7 calendar days after submission, you authorize us to charge the saved payment method for the applicable design fee shown to you at submission or in the accepted order confirmation.
Our current standard design fees are:
- Unveiled: $1,500
- Avowed: $2,500
If the accepted design fee is different from the amount you were shown and authorized, we will obtain your agreement to the changed amount before charging it.
Applicable taxes, if legally required on the design charge, may be added as disclosed at checkout or in the order confirmation.
If we do not accept the request within the authorization window, we will obtain fresh agreement before using the saved payment method for the design fee.
4. When acceptance becomes effective
An acceptance is not complete for paid creative work until the authorized design charge succeeds.
If the charge fails or requires additional authentication, we may ask you to complete authentication or provide another payment method. We may hold the offered studio slot for approximately 3 calendar days while payment is resolved.
We do not intend to make repeated automatic charge attempts after a failed design charge without additional customer action or permission, except for ordinary processor or network behavior outside our direct control.
5. No automatic production charge
This Authorization does not authorize us to automatically charge the later production payment merely because the design is approved.
Manufacturing is optional. Before production, you must affirmatively elect to manufacture and confirm the production amount, applicable taxes, quantity, specifications, and shipping details.
Our current standard production payments are:
- Unveiled: $3,000
- Avowed: $5,000
The quoted production subtotal may differ for non-standard quantities, destinations, scope, or production choices, but any changed amount must be agreed before payment.
6. Payment processor
Payments are processed by Stripe or another payment processor identified at checkout.
Your card issuer, network, or payment processor may apply authentication, fraud-prevention, decline, refund, or other payment rules that are outside our control.
7. Refunds and cancellations
Authorization to charge a payment method does not eliminate any refund or cancellation right described in our Refund and Cancellation Policy or required by law.
8. Payment disputes
If you believe a charge is incorrect, please contact us at hello@withatrace.com so we can investigate promptly.
Nothing in this Authorization limits rights available under applicable payment-network rules or law.
9. Electronic agreement
By checking the payment-authorization box, completing the payment-method setup, and submitting the commission request, you electronically agree to this Payment Authorization and authorize the future charge described above if the commission is accepted within the stated authorization window.
We may retain a record of the version you accepted, the date and time, account or submission identifiers, and other technical information reasonably used to document your authorization.
